Responsibilities


CEO & Executive Operations

  • Ensure ideas, decisions, and commitments from the CEO are followed through — track open items, close loops, and flag when things are slipping.

  • Prepare materials for board meetings, investor updates, all-hands meetings, and offsites — own the logistics and create the first draft.

  • Lead vendor negotiations and renewals; manage relationships and contracts across legal, accounting, and SaaS vendors.

  • Own company-wide operational processes including:

    • New hire onboarding

    • System access provisioning

    • Office and equipment logistics

  • Handle ad hoc CEO projects — from competitive research to partner meeting preparation and internal communications.


Product & Engineering Rhythm

  • Partner with the CEO and engineering/product leads to set and track OKRs and quarterly objectives across product and engineering teams.

  • Own the internal operating cadence — organize team meetings, leadership syncs, and cross-functional standups to ensure the right people are in the right conversations at the right time.

  • Prepare and distribute leadership updates, including:

    • Weekly summaries

    • Product milestone updates

    • Progress-against-OKR reporting

  • Conduct regular pulse checks with company executives and team leads — surface what’s working, what’s not, and bring insights back to the CEO with recommendations.

  • Track follow-through on product and engineering commitments; flag blockers and help teams stay accountable to quarterly goals.


Marketing & Strategic Support

  • Support data-related research and analysis for marketing initiatives, including provider directory data pulls and ghost network analysis.

  • Help coordinate content production logistics and marketing workflows as needed.

  • Conduct competitive and prospect research to support the CEO’s business development and sales efforts.


Qualifications

  • 3+ years of experience in management consulting, business operations, or a generalist operator role at a startup.

  • Strong organizational skills with the ability to manage multiple workstreams simultaneously without dropping the ball.

  • Comfortable with financial administration — you do not need to be a CPA, but should be able to:

    • Manage vendor payment processes

    • Reconcile invoices

    • Flag discrepancies proactively

  • Analytical and data-literate — comfortable with Excel/Google Sheets and willing to learn new tools quickly.

  • Exceptional written communication skills — you will frequently draft communication on behalf of the CEO.

  • Demonstrated initiative — you identify gaps, take ownership, and solve problems proactively.

  • High trust and discretion — you will have access to sensitive financial and operational information.

  • Exposure to healthcare, health tech, or regulated industries is a strong plus.

  • Comfortable operating in ambiguity at an early-stage company where processes are still evolving.
